EPOS NOW Integration – Operational Guide for Foodhub

This guide explains how to manage menus, process orders, and troubleshoot EPOS NOW integration from within the Foodhub platform. Follow these instructions carefully to ensure smooth operations.


1. Updating the Menu

All menu changes must be made only in EPOS NOW. The Foodhub system will sync changes from EPOS NOW – never edit the menu directly from Foodhub.

Steps:

  1. Login to the EPOS NOW Dashboard.

  2. Navigate to the Manage tab.

  3. Click on Product List.

  4. Use the Add Product button to create new items.

  5. Edit existing items directly from the Product List page as needed.

  6. Open the EPOS NOW Integration Page in the Foodhub Back Office.

  7. Click Sync Menu.

  8. Once the sync completes, click Publish Menu to Foodhub.


2. Order Acceptance Workflow

Orders from Foodhub will be automatically pushed to EPOS NOW. Once successfully injected into EPOS NOW, they will be marked as “Accepted” in the Foodhub system.

🔹 Do not manually accept orders from the Foodhub system.


3. Supported Order Types

The following Foodhub order types are supported and fully integrated with EPOS NOW:

  • Delivery

  • Pickup / Collection

  • Kiosk Orders (Dine-in / Pickup)

These orders will appear in EPOS NOW automatically once placed.


4. Troubleshooting Order Injection Failures

If an order does not reach EPOS NOW, it is likely due to missing or incorrect mappings in the integration page.

Steps to troubleshoot:

  1. Go to the EPOS NOW Integration Page in the Foodhub system.

  2. Check that the following fields are filled correctly:

    • Price Choice

    • Unpaid Tender Type

    • Paid Tender Type

    • Delivery Fee PLU

    • Tax PLU

    • Other Charges PLU

  3. Also verify that Cash/Card Tender Types are mapped correctly.

  4. Make sure the total value of the order matches between both systems.

⚠️ Orders with mismatched totals will not inject into EPOS NOW.


5. Configuring Auto-Print for Orders

You can choose whether or not orders should print automatically upon arriving in EPOS NOW.

To enable or disable auto-printing:

  1. Go to the EPOS NOW Integration Page in Foodhub.

  2. Locate the Auto Print toggle option.

  3. Enable it to turn on automatic printing, or disable it to turn it off.


6. Handling Scheduled / Pre-orders

All scheduled or pre-orders placed via Foodhub are immediately sent to EPOS NOW along with the scheduled delivery/pickup time.

Steps to place a scheduled order:

  1. Visit the Foodhub website.

  2. Add desired items to the cart.

  3. Select the Schedule Time for when the customer wants to receive the order.

  4. Choose Cash or Card for payment.

  5. Complete the order.

In EPOS NOW:

  • Cash Orders will appear in the Ordered section.

  • Card Orders will appear in the Completed section.


7. Viewing Paid vs Unpaid Orders in EPOS NOW

Use the payment method to identify how orders appear in EPOS NOW:

  • Cash Orders – Displayed under Ordered

  • Card Orders – Displayed under Completed

To test:

  1. Go to the Foodhub website.

  2. Place an order using Cash – check the Ordered section in EPOS NOW.

  3. Place another using Card – check the Completed section in EPOS NOW.
